— Asma Asim, Business OwnerThe Bookkeeping Problem Most Etsy Sellers Do Not See Coming
Here is something that surprises a lot of Etsy shop owners when they first sit down to review their finances.
The amount that lands in your bank account from Etsy is not your revenue. It is what is left after Etsy has already deducted listing fees, transaction fees, payment processing fees, Etsy Ads charges, Offsite Ads fees, and any refunds or adjustments from the period. If you are recording that net deposit as total income, your books are understating both your revenue and your expenses at the same time, which means your profit figure is unreliable and your T2125 or corporate return may not reflect what actually happened in your shop.
Beyond the deposit problem, Etsy sellers carry expense complexity that most general bookkeepers do not handle well. Handmade sellers buy raw materials, packaging, tools, and craft supplies that need to be tracked as product costs and matched against what sold. Vintage sellers need to record item purchase costs and match them to sale prices. Digital sellers have their own fee and refund patterns. Shipping costs, buyer-paid shipping, return postage, and packaging supplies all need to be recorded separately to give any useful picture of what the business actually earns.
Then there is GST/HST, which works differently for Etsy sellers than for most other businesses. Since July 1, 2022, Etsy collects and remits GST/HST on eligible orders from Canadian buyers on behalf of sellers. But if you have added your Canadian GST/HST ID to your Etsy account, that changes. Etsy will not collect or remit those taxes on physical goods for Canadian buyers in that case, and the responsibility shifts to you. Most Etsy sellers are not sure which situation applies to them, and the answer matters a lot for how records need to be kept.
AccTax works with Ontario Etsy sellers who want this handled properly, not figured out the hard way at year-end.
How Etsy Shop Workflows Connect to Bookkeeping
Select a workflow below to see how day-to-day Etsy sales, seller fees, inventory costs, and tax rules directly impact your accounting records.
Online orders and sales
Item prices, shipping charged, taxes collected, discounts, and refunds all need to be separated from the net deposit figure.
Etsy Payments deposits
Net bank deposits must be reconciled against Etsy Payments sales and deposit reports each month.
Seller fees
Listing fees, transaction fees, payment processing fees, Etsy Ads, Offsite Ads, and subscription fees each need their own expense category.
Handmade product costs
Raw materials, packaging, tools, and supplies need to be tracked against what was actually sold.
Vintage and resale inventory
Item purchase cost, shipping paid to acquire stock, resale price, and unsold inventory all require separate records.
Digital product sales
Transaction fees, refunds, and international sales create their own bookkeeping patterns.
Refunds and cancellations
Revenue, fees, shipping, and inventory records all need adjustment when an order is cancelled or returned.
GST/HST handling
Whether Etsy collects on your behalf or you collect depends on your tax ID status, and the records differ in each case.
Where Etsy Shop Books Go Wrong
Net deposits get recorded as gross sales. Etsy Payments deposits arrive in your bank after fees, refunds, and adjustments have already been taken out. Recording those deposits as income means your revenue is understated and your expenses are missing entirely.
Seller fees are lumped into one line. Listing fees, transaction fees, payment processing fees, Etsy Ads, and Offsite Ads all affect your margin differently. Mixing them into a single expense category makes it impossible to understand where your costs are actually coming from.
Material costs are not tracked. Handmade sellers spend real money on raw materials, packaging, and supplies. Without tracking those costs by product or batch, you have no idea which items are actually profitable and which ones are costing you money to make.
GST/HST status is unclear. Many Etsy sellers do not know whether Etsy is collecting and remitting on their behalf, or whether their tax ID settings have shifted that obligation back to them. The distinction affects how records need to be kept and what gets filed.
Shipping costs get mixed up. Postage, packaging, carrier charges, and buyer-paid shipping are all different things that affect your income and expenses differently. They need to be recorded separately to produce an accurate financial picture.
Holiday season creates a backlog. November and December on Etsy can be three times the volume of a normal month. Sellers who fall behind during that period often arrive at tax time with months of unreconciled records.

Frequently Asked Questions
Does Etsy collect GST/HST on my behalf?
Since July 1, 2022, Etsy collects and remits GST/HST on eligible orders from Canadian buyers. If you have added your Canadian GST/HST or QST ID to your Etsy account, the rules change. Etsy will not collect or remit those taxes on physical goods for Canadian buyers in that case, and the obligation shifts to you. The records AccTax maintains reflect whichever situation applies to your shop.
What is the difference between Etsy Payments sales and Etsy Payments deposits?
Etsy Payments sales show what your shop earned at the gross order level. Etsy Payments deposits show what actually arrived in your bank after Etsy deducted fees, refunds, taxes, and adjustments. Reconciling the two is how we confirm that your income records match your actual bank activity.
Do I need to register for GST/HST as an Etsy seller?
If your total taxable revenue across all sales channels exceeds $30,000 over four consecutive calendar quarters, registration becomes mandatory. Etsy's collection of GST/HST on your behalf does not remove this obligation. Whether your Etsy sales count toward the threshold depends on the type of goods you sell and your tax ID settings.
How do you track material costs for handmade sellers?
We record supply and material invoices as they come in each month and match them to cost of goods sold based on what actually sold in the period. This gives handmade sellers a real product margin figure rather than a revenue number that has no cost context behind it.
Can AccTax help if my Etsy records go back several years?
Yes. AccTax starts with a full assessment of your order CSVs, deposit reports, and existing records before quoting any catch-up project. Reconstruction timelines depend on how many years are involved, your order volume, and the condition of available records.
Do you work with incorporated Etsy sellers?
Yes. AccTax works with incorporated Etsy shops on monthly bookkeeping, GST/HST records, payroll coordination where applicable, and year-end preparation for corporate tax filing. Visit our corporate tax filing page for details.
What happens if CRA contacts me about my Etsy income?
AccTax reviews the notice, identifies what CRA is asking about, and prepares a response with the supporting records. Visit our CRA notices page for how that process works.
