— Asma Asim, Business OwnerHow eBay Selling Creates Bookkeeping Complexity for Ontario Sellers
eBay selling looks straightforward from the outside. List an item, sell it, receive payment. In practice, the financial records an Ontario eBay seller needs to maintain for accurate income reporting and GST/HST compliance are more layered than most sellers expect.
The first complication is gross versus net income. eBay deducts listing fees, final value fees, promoted listing charges, and managed payments processing fees before remitting a net payout to the seller. Recording that net deposit as gross revenue understates both income and expenses simultaneously, which produces incorrect profit figures and affects T2125 reporting.
The second complication is CRA visibility. For the 2024 calendar year onward, digital platforms operating in Canada including eBay report Canadian seller information directly to CRA, with the first reports due by January 31, 2025. This means CRA now receives a direct report of your eBay sales volume and transaction count. Sellers who have not been maintaining accurate records, or who assumed eBay income was difficult for CRA to trace, are in a different position than they may realize.
The third complication is GST/HST. Effective July 1, 2022, for all sales of tangible goods sold within Canada, eBay collects Canadian sales taxes including GST/HST, QST, and PST from Canada-based buyers on behalf of sellers and remits the tax to the appropriate tax authorities. This does not eliminate a seller's own GST/HST obligations once they cross the registration threshold. It changes how the collection and remittance mechanics work, and understanding that distinction matters for filing correctly.
The fourth complication is inventory. eBay sellers who purchase goods specifically for resale need to track the cost of those goods accurately. Cost of goods sold is a deductible business expense, but only if purchase records exist to support it. Sellers who buy inventory from multiple sources, including auctions, estate sales, retail arbitrage, and wholesale, often have purchase records spread across receipts, PayPal transactions, and bank withdrawals that need to be organized before any reliable profit figure can be calculated.
AccTax works with Ontario eBay sellers and e-commerce operators who need these records organized accurately each month, connected to their GST/HST filings and year-end tax preparation.

Common Bookkeeping Problems for Ontario eBay Sellers
Net payouts recorded as total sales. Most sellers look at what lands in their bank account from eBay and record that figure as revenue. That net amount is after platform fees, shipping adjustments, and refunds have already been deducted. Recording net deposits as gross sales understates both revenue and expenses and produces a profit figure that does not match what CRA will calculate from the platform report it receives.
The cost of goods sold is not tracked. Sellers who buy inventory at estate sales, auctions, or through retail arbitrage often have purchase records scattered across cash receipts, online order confirmations, and bank withdrawals. Without organized purchase records, the cost of goods sold cannot be accurately calculated, and deductible expenses are left unclaimed.
GST/HST registration is misunderstood. A common myth is that you only need to worry about GST/HST if you make over $30,000 in a calendar year. You must register for a GST/HST number if your total taxable revenue exceeds $30,000 over four consecutive calendar quarters. Sellers who cross this threshold and do not register face retroactive obligations plus potential penalties on the unremitted amounts.
T2125 is filed without supporting records. Business income from eBay selling is reported on a T2125 form as part of the T1 personal tax return. Filing the form without organized records behind each line creates a return that cannot withstand a CRA review, particularly now that CRA receives direct data from the platform.
Hobby versus business classification is not addressed. CRA uses indicators of commercial intent to determine whether selling activity is a business. Consistent sales volume, profit-seeking behavior, and repeat purchasing of inventory for resale all point toward business classification regardless of how the seller describes the activity.

Frequently Asked Questions
Do I need to report eBay income to CRA?
If your eBay activity is carried on for profit with commercial intent, it is business income and must be reported on a T2125 form as part of your T1 personal tax return. CRA now receives direct seller data from eBay, which means sales volume is no longer difficult for CRA to verify independently.
What records do I need to keep as an eBay seller?
eBay Seller Hub transaction reports, managed payments payout statements, bank statements, inventory purchase receipts, shipping receipts, and any prior GST/HST filings or CRA correspondence. CRA requires business records to be kept for six years from the end of the year they relate to.
Does eBay collect and remit GST/HST on my behalf?
Since July 1, 2022, eBay collects and remits Canadian sales taxes on behalf of Canada-based sellers on sales to Canadian buyers. Once you register for GST/HST, eBay operates as a billing agent under the applicable legislation, and you receive a billing agent election form to keep in your records. You can read more on the eBay Canada Seller Centre tax information page.
When do I need to register for GST/HST as an eBay seller?
When your total taxable sales across all channels exceed $30,000 over four consecutive calendar quarters. eBay's collection of HST on your sales does not remove this obligation. Cross-border sales to US buyers are zero-rated but still count toward the threshold calculation.
What is a T2125 form and do eBay sellers need to file one?
T2125 is the CRA form for reporting business income from self-employment or a business activity, which includes eBay selling when carried out commercially. It captures gross sales, deductible expenses, and net business income. AccTax helps organize the records needed to prepare this form accurately.
Can AccTax help if my eBay records go back several years?
Yes. AccTax starts with a full assessment of what records exist, including Seller Hub reports, payout history, and purchase receipts, before quoting any catch-up project. Reconstruction timelines depend on how many years are involved and the condition of available records.
